Model, automate and monitor processes
Business processes rarely consist of isolated individual steps. Without structured workflow management, media disruptions, manual handovers and unnecessary delays occur.
Workflow management describes the systematic control of recurring processes in a company. Individual work steps are defined, responsibilities determined and decisions supported automatically. Tasks are automatically assigned to the right person, deadlines are monitored and status information remains transparent at all times.
In many companies, workflows are organized using separate tools or simple task lists. However, the key advantage of ERP-integrated workflow management is direct access to company data. If processes are managed where orders, customers, articles or invoices are also managed, the result is a consistent digital process with a complete overview and uniform data status.
With Nuclos, business processes can be modeled, automated and monitored directly in the ERP. You define workflows, manage tasks and responsibilities and track the status of ongoing processes in real time. This creates transparent, scalable processes that can be flexibly adapted to changing requirements and workflow management becomes a central component of process digitization.
Workflows can be modeled visually in Nuclos. Processes are displayed graphically and can be structured using a drag-and-drop editor. Individual process steps, decision rules and responsibilities are clearly defined. This creates a comprehensible flowchart that remains understandable for both decision-makers and specialist departments.
Many recurring work steps can be fully automated. Processes can start automatically as soon as certain events occur: for example, when an order is created or an invoice is entered. Rules and conditions then control the subsequent process. Typical examples are automatic checks, approval processes or the creation of follow-up tasks. This reduces manual activities and processes run much faster and more reliably.
Each process step automatically generates tasks for the responsible employees. Tasks can be assigned priorities, deadlines and status. Those responsible can see at any time which work steps are open and which processes have already been completed.
Escalation rules ensure that critical tasks are not overlooked. If deadlines are exceeded or decisions are not made, automatic reminders or forwarding can be triggered.
All running workflows can be tracked in real time. Dashboards and key figures show, for example, open tasks, throughput times or bottlenecks in processes. Those responsible immediately recognize where delays occur and can react in a targeted manner. Logs and audit trails also document, where required, which decisions were made and when. This increases transparency and supports the continuous optimization of business processes.
Workflows are based on the central user and role management of the Nuclos ERP system. Tasks, approvals and responsibilities can be clearly assigned to roles or individual users. At the same time, authorizations control who can view or edit certain process steps. As a result, processes remain secure and traceable, even in complex organizational structures.
Automatic notifications inform those involved about new tasks or upcoming deadlines. Reminders and status messages ensure that important decisions are not delayed. Employees are informed in good time when their involvement is required. This improves response times and reduces internal coordination efforts.
Workflows in Nuclos work directly with the data from the ERP system. Processes access customer, article or order data, for example, and can process them automatically.
Open interfaces such as our REST API can also be used to integrate external systems such as CRM solutions, email systems or specialized applications. This allows workflows to be designed across systems without losing the central database.
This approach makes it possible to expand processes step by step and adapt them to new requirements.
Workflow management refers to the operational control of business processes. Individual steps, responsibilities and decision rules are defined and implemented digitally so that processes can be controlled and monitored automatically.
→ General information about workflow management
When workflows run directly in the ERP, they access the same data as other company processes. This results in fewer media disruptions, information remains consistent and processes can be fully automated.
Typical examples are quotation approvals, invoice checks, internal approval processes or service workflows. As Nuclos is fully customizable, even very specific or completely unique company processes can be mapped.
