Documents are created wherever processes take place. This is why document management in Nuclos is not an isolated add-on module, but an integral part of the ERP system.
In Nuclos, documents are always part of a specific process. They are linked directly to data records such as quotations, orders, projects or customers. A separate file storage or folder structure is not necessary, as the business context is clearly defined via the ERP.
Teams therefore do not access documents “anywhere in the system”, but always in connection with the respective process. This increases traceability and speeds up daily work considerably.
Documents are generated automatically in Nuclos from the data maintained in the system. They are stored directly on the respective data record without any additional manual steps. This means that there is no additional work for users, while at the same time ensuring that documents are complete, correct and can be retrieved at any time. Filing is thus a natural part of the process, not a separate work step, and media disruptions are avoided by mapping processes completely digitally and centrally.
In Nuclos, the technical truth is always in the data record; documents are primarily used as output formats. Versioning is automatic.
Structures result automatically from data and relationships. Documents are always stored and referenced exactly where they belong.
For many applications, a stand-alone DMS is oversized. Nuclos flexibly covers the actual needs of day-to-day work.
Nuclos makes it easy to transfer external documents into the respective process context. Files such as PDFs, Office documents, images or emails can be attached directly to relevant data records and are immediately available there. Advanced automated processing of document content can be realized through AI-supported scanning or classification.
All documents are stored centrally in the system and clearly assigned to the associated business objects. The structure is primarily created via data record relationships as well as tags and metadata. This allows users to maintain an overview at all times and documents are available exactly where they are needed in the process.
Nuclos offers a powerful full-text search of document content as well as structured filter options according to criteria such as date, customer, project or process. Documents can therefore be found quickly and reliably, even in large databases. They can be accessed directly from the respective business processes. Users do not have to switch between different systems or storage locations to find relevant documents.
The user and role administration integrated in Nuclos can be used to secure documents and associated data records. Access can be specifically restricted and adapted to existing authorization structures. This ensures that sensitive information is only available to authorized users, consistent with the general system architecture of Nuclos.
In Nuclos, approvals, forwarding and notifications are primarily controlled at business object level, for example for quotations, invoices or projects. Documents are automatically part of the respective workflow
Nuclos can easily be used for electronic archiving requirements or regulatory specifications. Audit-proof archiving, GoBD compliance and statutory retention periods can be individually adapted to the requirements of your industry.
If an external document management system (DMS) is required in special cases, it can be seamlessly connected to Nuclos thanks to open interfaces. Documents and metadata can be synchronized or exchanged with third-party systems without compromising the benefits of Nuclos.
This allows companies to remain flexible and future-proof without having to commit to additional systems at an early stage or adding unnecessary complexity to their system landscape.
